Step 2

How to create a team schedule

Build a staff schedule in five steps, from coverage needs and availability to assigning shifts, checking conflicts and sharing working hours with your team.

A team schedule shows who works, when they work, which position they cover and where they need to be. A useful schedule takes both business needs and staff availability into account, and stays accessible when shifts change.

Follow these five steps to prepare your first weekly staff schedule and share it with your team.

1. Define the positions and hours to cover

Start with your operational needs: opening days, working hours, essential positions and busy periods. For each shift, identify the location, the role and the number of people needed.

For example, a store might need one person at the front desk in the morning and two in the afternoon. Establish this coverage requirement before assigning individual team members.

2. Gather availability and planned absences

Before assigning shifts, check time off, known absences and the unavailability each person has declared. Consider the skills required for each position and travel constraints between locations.

Also check for incompatible assignments: someone scheduled on two overlapping shifts cannot cover both positions.

3. Build the weekly schedule

Assign the hardest positions to cover first. Then add the remaining shifts and review how the workload is distributed.

In Rythmelia, day, week and month views let you browse the schedule by employee or by position. Drag-and-drop shifts help you adjust assignments when plans change.

Keep the same information for every assignment:

  • The employee and their position.
  • The day, start time and end time.
  • The location where the work takes place.
  • Any information needed to start the shift.

4. Check hours and scheduling conflicts

Review the staff schedule before sharing it. Are all essential positions covered? Is anyone assigned to overlapping shifts? Have planned absences been taken into account?

When you publish, Rythmelia lists conflicts and uncovered shifts: blocking issues are fixed before publishing. The “Planned hours” page gives each employee’s planned hours.

5. Share the schedule and communicate changes

When the schedule is ready, publish it so each employee can find their working hours. Each person concerned receives a notification in the application, and views the schedule on a computer or on a phone. You can also export it to PDF or Excel.

When someone needs a replacement or an unexpected absence occurs, update the shared schedule and inform the people affected. This gives the team one version to refer to.

Spreadsheet or online scheduling software?

A spreadsheet can help you draft an initial allocation of shifts. As changes become more frequent, team scheduling software brings preparation, sharing and tracking together.

Rythmelia combines staff scheduling with time tracking and tasks. The schedule describes planned hours; time tracking records arrivals and departures, then shows the gap with the schedule. Importing an existing schedule is not yet available, so plan to create your shifts in the application.
